Emailing a dashboard and all of its Klips

Overview

You can email a dashboard and all of its klips to share with others as a one-time event or set up a schedule.

Select one of two file formats:

  • pdf, which is delivered as an email attachment
  • image, which is displayed in the body of the email message

To email a dashboard and all of its Klips

  1. Select the dashboard to be emailed and from Menu, select Share > Email Dashboard.
  2. Type the recipients' email addresses (use a semi-colon to separate email addresses) and select PDF or Image format.
  3. Set Options as required. For PDF format, the Size option has 3 choices:
  4. Multiple pages inserts page breaks appropriately to keep Klip content together.

    Multiple pages (no breaks) maintains the layout whenever possible. Klip content may flow to the next page.

    Resize to fit one page displays all Klips on one page by reducing the font size.

  5. Click Send Now. The output is formatted and includes the dashboard name, date and time.

To schedule an email report for a dashboard

You can email a dashboard to other Klipfolio users on a regular basis.

  1. Select the dashboard to be emailed and from Menu, select Share > Email Dashboard.
  2. Click set up or manage an existing recurring scheduled email.
  3. Click Set up an Email Report.
  4. Type the recipients' email addresses (use a semi-colon to separate email addresses), select PDF or Image format.
  5. Set the fields as required. For PDF format, the Size option has 3 choices:

  7. If the dashboard has any User Input Control components, set the Variables associated with these components. These are the settings that will be used when the email report is generated for the dashboard.
  8. Set the Schedule > Frequency to Daily, Weekly, Monthly or Never (if you want to create the report, but do not yet want it emailed). 

  9. If you select Monthly, set Day to First, Second, Third or Fourth or Specific. Select Specific to choose a specific day of each month to send the report. This must be entered as an integer, as a series of integers or as the word "last" (typed without quotes). For example:

    1 for the first day of every month
    2 for the second day of every month
    1, 15 for the first and fifteenth days of every month
    last for the last day of every month

  10. Click Finished > Save.

To manage scheduled email reports

You can view, delete or send a scheduled email report from the About this Dashboard page.

  1. Go to Library > Dashboards and select the required dashboard.
  2. Click Email Reports to display a list of scheduled email reports.
